END USER LICENSE AGREEMENT

This End User License Agreement ("Agreement") is between you ("User") and ScanReceipt ("Company") for the Scanreceipt AI-Expense-Tracker application ("Service").
1. ACCEPTANCE OF TERMS
By using our Service, you agree to this Agreement. If you disagree, do not use the Service.
2. SERVICE DESCRIPTION
DocScan is an AI-powered expense tracking application that provides:
- High-grade OCR text extraction using enterprise cloud infrastructure
- AI-powered receipt and invoice parsing using OpenAI enterprise services
- Email document processing via dedicated email addresses
- QuickBooks Online integration for accounting sync
- Bank statement processing and categorization
- Subscription-based usage limits (Free: 15 receipts/month, Pro: unlimited)
3. LICENSE GRANT
We grant you a limited, non-exclusive, revocable license to use the Service subject to your subscription plan and this Agreement.
4. SUBSCRIPTION PLANS AND USAGE LIMITS
- FREE Plan: 15 receipt scans and 1 bank statement per month
- PRO Plan ($9.99/month): Unlimited processing
- Usage resets monthly and is tracked automatically
- Exceeding limits requires upgrade or blocks processing
- Subscriptions auto-renew unless cancelled
5. USER ACCOUNTS AND DATA
- You must provide accurate registration information
- You receive dedicated email addresses for document processing
- You retain ownership of uploaded documents and extracted data
- Account deletion exports data for 30 days before permanent removal
6. PERMITTED USES
You may:
- Upload receipts, invoices, and bank statements for processing
- Email documents to your dedicated processing addresses
- Connect your QuickBooks Online account for data synchronization
- Use extracted data for your business accounting needs
- Export your data in standard formats
7. RESTRICTIONS
You may not:
- Share your account credentials or dedicated email addresses
- Upload documents you don't own or lack rights to process
- Reverse engineer our AI parsing algorithms
- Exceed your subscription plan's usage limits
- Use the Service for illegal purposes or fraudulent documents
- Attempt to access other users' data or accounts
8. THIRD-PARTY INTEGRATIONS
Our Service integrates with:
- Enterprise-grade OCR services for text extraction
- OpenAI enterprise services for AI parsing and categorization
- QuickBooks Online for accounting synchronization
- Payment processing services for subscriptions
- Email processing infrastructure for document intake
Each integration is subject to their respective terms of service.
9. DATA PROCESSING AND AI ACCURACY
- OCR extraction may not be 100% accurate and depends on document quality
- AI categorization is provided as-is and may require manual review
- Processing results depend on document format and legibility
- You remain responsible for verifying extracted data accuracy
- We disclaim warranties about processing accuracy for business decisions
10. OPENAI ENTERPRISE PRIVACY AND SECURITY
We use OpenAI's enterprise services with enhanced privacy protections:
- Your document data is NOT used to train OpenAI models
- No personal identifiers or sensitive information is sent to AI services
- Only anonymized transaction text is processed for parsing
- Data is automatically deleted from OpenAI systems after 30 days
- You retain ownership of both input documents and AI-generated outputs
- We operate under OpenAI's Enterprise Privacy framework with signed Data Processing Addendum
11. QUICKBOOKS INTEGRATION
- Requires separate QuickBooks Online subscription
- Data sync is one-way (from DocScan to QuickBooks)
- We are not responsible for QuickBooks data integrity
- Disconnection stops future syncs but doesn't remove existing data
12. EMAIL PROCESSING
- Documents sent to your dedicated emails are processed automatically
- Email infrastructure processes only document attachments
- Processing status is tracked and notifications provided
- Personal email content is not accessed or stored
13. PAYMENT AND BILLING
- Payments processed through secure payment infrastructure
- Pro subscriptions ($9.99/month) auto-renew monthly
- Usage tracking resets on subscription renewal date
- Cancellation stops future billing but maintains access until period end
14. SERVICE AVAILABILITY
- We target 99% uptime but don't guarantee uninterrupted service
- Maintenance windows may temporarily affect availability
- Third-party service outages may impact processing capabilities
15. LIMITATION OF LIABILITY
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- Our liability is limited to amounts paid in the last 12 months
- We disclaim warranties about OCR/AI accuracy
- We're not liable for third-party integration issues or data loss
- You use the Service at your own risk for business decisions
16. DATA RETENTION
- Account data: Until deletion + 30 days
- Processed documents: 7 years (tax compliance)
- Usage logs: 2 years
- Inactive free accounts: Deleted after 12 months
17. TERMINATION
Either party may terminate this Agreement. Upon termination:
- Your data remains accessible for 30 days for export
- Processing stops immediately
- Third-party integrations are disconnected
18. GOVERNING LAW
This Agreement is governed by Ontario, Canada laws.
